SOMATIKA SOUND BATH ~ PRIVATE GROUP SOUND BATH

 

GROUP BOOKING AGREEMENT

Somatika & The Westin Calgary

 

This Agreement is between Somatika (“Organizer”), The Westin Calgary (“Hotel”), and the individual or organization booking the event (“Client/Organizer”).

 

This Agreement governs the reservation, payment, and responsibilities associated with a private or group sound bath held in a conference or meeting space at The Westin Calgary.

1. EVENT DETAILS

Final attendance numbers must be confirmed no later than 24 hours in advance and are subject to venue capacity and Hotel requirements.

2. PAYMENT TERMS

a) A $200 non‑refundable deposit is required to secure the date and venue.

 

b) The remaining balance is due in full prior to the event start time as specified on the invoice.

 

c) Failure to provide payment by the due date may result in cancellation of the booking without refund.

 

All food and beverage charges will be invoiced according to The Westin Calgary policies outlined in Section 5.

3. CANCELLATION & CHANGES

  • Deposits are non‑refundable and non‑transferable.

  • No credits or date transfers are permitted.

  • Refunds will only be issued if the event is cancelled by Somatika or The Westin Calgary.

  • Weather, travel disruption, illness, or change of plans do not qualify for refund.

4. PARTICIPATION & LIABILITY

a) By attending the session, participants acknowledge that the sound bath is a wellness experience intended for relaxation and general well-being.

 

b) Participants are responsible for their own comfort and are encouraged to modify their experience as needed.

 

c) The Client/Organizer agrees to inform participants that they may choose to sit, lie down, or step out of the session at any time.

d) Somatika and The Westin Calgary are not responsible for any injury, discomfort, or adverse reaction experienced during or after participation, except where required by law.

e) The Client/Organizer accepts responsibility for communicating the nature of the session to all participants.

5. FOOD & BEVERAGE

   (HOTEL REQUIREMENT)

Due to licensing and quality control:

 

a) All food and beverage must be provided, prepared, and served by The Westin Calgary and consumed on Hotel premises.

b) Menu pricing will be confirmed by the Hotel.

​

c) Additional charges:

  • 20% service charge on all food and beverage revenue

  • Applicable taxes added to final invoice

6. ROOM USE & EVENT FLOW

a) The conference room will be set according to agreed-upon layout (e.g., yoga mats, chairs, or mixed seating).

b) The Client/Organizer agrees to ensure participants arrive on time. Late arrivals may not be permitted once the session has begun, as it may disrupt the experience.

c) Event timing includes setup and teardown within the contracted booking window unless otherwise agreed.

7. DAMAGE & CONDUCT

The Client/Organizer accepts responsibility for the conduct of their guests and agrees to reimburse Somatika or The Westin Calgary for any damage to hotel property caused by members of the group, excluding ordinary wear and tear.

Participants are expected to respect the quiet and restorative nature of the session.

8. COMPLIANCE WITH LAW

All parties agree to comply with applicable federal, provincial, and municipal laws including health and safety regulations.

9. INDEMNITY

The Client/Organizer agrees to indemnify and hold harmless Somatika and The Westin Calgary from any claims arising from:

 

  • Failure to ensure participants sign individual waivers

  • Actions or negligence of guests

  • Breach of this Agreement

10. GOVERNING LAW

This Agreement is governed by the laws of the Province of Alberta.
